Your information, handled with care.

How Yuill School of Agriculture collects, uses, and protects the personal information you share with us.

Last updated: June 2, 2026

Yuill School of Agriculture (“YSA,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect when you visit yuillschoolofag.ca or interact with us, how we use it, and the choices you have. It applies to all information collected through our website, forms, email, and phone.

1. Who we are

Yuill School of Agriculture is a non-profit organization preparing to open Alberta’s first dedicated agricultural high school in Southeast Alberta in Fall 2027. We are a registered Canadian charity. For privacy matters, the organization is the controller of your personal information.

Registered charity number: 140249897RR0001
Mailing address: c/o Prairie Rose Public Schools, 918 – 2nd Avenue, Dunmore, AB T1B 0K3, Canada

2. What we collect

Information you give us directly

When you fill out a form on our site, send us an email, or call us, we collect what you choose to share. That typically includes:

  • Contact form: your name, email address, phone number (optional), and the message you send
  • Careers form (Join the Team): your name, contact information, the area you’re interested in helping with, and any background details you share
  • Event inquiries: name, email, phone, and event-related preferences
  • Direct correspondence: anything you include when you email or call us

Our forms are powered by BitForm, a WordPress plugin. Submissions are stored in our website database and emailed to YSA staff.

Information collected automatically

When you visit our site, our hosting provider and analytics tools collect basic technical information:

  • Your IP address (often anonymized) and approximate geographic location
  • Browser type and version, operating system, and device type
  • Pages visited, time on site, and how you arrived (referring website or search engine)
  • Standard server logs used for security and troubleshooting

Information from third-party services we embed

Our site embeds content from third parties, and those services may collect their own information when their content loads on a page you visit:

  • Vimeo — when a page contains a Vimeo video, Vimeo may set cookies and collect analytics about the video. See Vimeo’s privacy policy.
  • DonorSupport — when you click “Donate Now” you leave our site and go to a secure DonorSupport-hosted page. Any payment information you enter is collected and processed by DonorSupport, not us. See DonorSupport’s privacy policy.
  • Google Fonts — our website loads Playfair Display and Barlow Semi Condensed from Google Fonts, which may log your IP address as part of serving the fonts.

3. How we use it

We use your information only for the purposes you’d expect:

  • To respond to your messages, questions, and inquiries
  • To follow up on careers and volunteer interest
  • To send you information about events, programs, or fundraisers if you’ve asked to hear from us
  • To process and acknowledge donations made through our donor portal
  • To improve the website and understand which pages are useful
  • To meet our legal, accounting, and reporting obligations as a Canadian registered charity

We do not sell or rent your personal information to anyone. Ever.

4. Who we share it with

We share your information only with the parties needed to operate the school and the website:

  • Our website host and form plugin (BitForm) — to store and deliver form submissions
  • Our email provider — to send and receive correspondence
  • Our donor processor (DonorSupport) — to handle donations you make through their portal
  • Our board, advisory council, and authorized staff — on a need-to-know basis to do the work you’ve contacted us about
  • Canada Revenue Agency or other authorities — if required by law (for example, in connection with a charitable donation receipt or a lawful request)

All third-party providers we use are bound by their own privacy commitments. We choose providers who handle Canadian data responsibly.

5. Cookies & tracking

A cookie is a small text file stored on your device. We use cookies for two purposes:

  • Essential cookies — set by WordPress so the site works properly (for example, to remember a form session)
  • Analytics cookies — set by Google Analytics 4 (if installed) so we can understand which pages are useful and how people arrived. These are anonymized and aggregated.

Third-party services we embed (Vimeo, Google Fonts) may set their own cookies when their content loads on a page.

You can clear or block cookies in your browser settings. If you block essential cookies, parts of the site may not work as expected.

6. How long we keep it

We keep your personal information only for as long as we need it to fulfill the purposes above, or as long as we’re required to keep it by law:

  • Form submissions — kept for as long as the inquiry remains active, then archived or deleted
  • Email correspondence — kept in our regular email system for normal record-keeping
  • Donation records — kept for the period required by the Canada Revenue Agency for charitable tax-receipting purposes
  • Server logs — typically retained for a short period (days to weeks) for security and diagnostics

If you’d like us to delete your information sooner, see Your rights below.

7. How we protect it

We take reasonable technical and organizational measures to protect your personal information:

  • Our website uses HTTPS encryption for all traffic
  • Access to form submissions and our admin systems is password-protected and limited to authorized staff
  • Donation processing happens on DonorSupport’s PCI-compliant servers — we never see or store full credit card numbers
  • We choose hosting and software providers with strong security track records

That said, no system is 100% secure. If we ever discover a privacy breach that puts your information at meaningful risk, we will notify you and the Office of the Privacy Commissioner as required by law.

8. Your rights

Under Canadian privacy law (PIPEDA, the federal Personal Information Protection and Electronic Documents Act, and Alberta’s PIPA, the Personal Information Protection Act), you have the right to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate or out of date
  • Withdraw consent for us to use your information going forward (subject to legal and contractual requirements)
  • Ask us to delete your information when we no longer have a legitimate reason to keep it
  • Ask a question or make a complaint about how we’ve handled your information

To exercise any of these rights, contact us using the details at the bottom of this page. We will respond within 30 days.

If you aren’t satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.

9. Children’s privacy

Although YSA is an upcoming high school for students aged 14–18, our website is intended for general audiences (parents, donors, partners, prospective students and their families). We do not knowingly collect personal information from children under 13 through this website. If a parent or guardian discovers that a child under 13 has submitted personal information through one of our forms, please contact us and we will delete it.

When YSA opens in Fall 2027 and we begin handling student records, those will be governed by a separate Student Records and Privacy Policy that complies with Alberta’s Education Act and PIPA.

10. Changes to this policy

We may update this policy from time to time as the school evolves, as our website features change, or as laws change. The “Last updated” date at the top of the page reflects the most recent revision. Material changes will be announced on this page.
